The Role
The Tender Administrator is responsible for managing and coordinating the complete tendering and bid administration process for the company. The role focuses on identifying tender opportunities, compiling compliant bid documents, coordinating submissions, maintaining tender records, and ensuring all tenders are submitted accurately and on time to maximize the company’s success in securing profitable contracts. The Tender Administrator serves as a key liaison between internal departments, clients, subcontractors, suppliers, and management throughout the tender lifecycle.
Key Responsibilities & Duties
Tender Identification & Opportunity Management
Search and monitor tender portals, newspapers, government procurement sites, client websites, and other platforms for relevant tender opportunities.
Evaluate tender opportunities against company capabilities and submission requirements.
Maintain an updated tender calendar and submission schedule.
Attend tender briefing sessions, site meetings, and pre-bid conferences when required.
Tender Documentation & Compliance
Review and analyze tender documents, specifications, scope of work, and contractual requirements.
Prepare tender compliance checklists and ensure all mandatory requirements are fulfilled.
Compile, format, and finalize tender submission documents.
Ensure all company documents, certificates, licenses, policies, and statutory documents remain valid and updated.
Draft and update supporting documents such as:
Company profiles
Policies and procedures
Method statements
Capability statements
Project references
Technical submissions
Ensure adherence to procurement laws, regulations, and client requirements.
Bid Coordination & Proposal Preparation
Coordinate with internal departments to obtain pricing, technical information, schedules, and operational inputs required for tender submissions.
Assist in preparing quotations, cost schedules, tender extensions, and commercial documents.
Ensure all tender submissions are accurate, professionally presented, and error-free.
Manage document version control and approval processes.
Submission Management
Coordinate printing, binding, packaging, and submission of tender documents.
Upload electronic bids through e-Tendering portals and procurement systems.
Ensure all submissions are completed and delivered before deadlines.
Track submitted tenders and follow up on outcomes and clarifications.
Records & Administration
Maintain accurate electronic and physical records of all tender documents and submissions.
Develop and maintain organized filing systems and tender databases.
Update spreadsheets, trackers, registers, and reporting tools.
Prepare tender status reports and submission summaries for management.
Organize meetings, schedules, and communication related to tender activities.
Respond to tender-related emails and correspondence professionally and promptly.
Vendor & Client Coordination
Liaise with suppliers, subcontractors, and service providers to obtain quotations and supporting documentation.
Maintain strong professional relationships with clients and stakeholders.
Support vendor registration and prequalification processes.
Job Requirements
Qualifications & Experience
Education
Bachelor’s Degree in: Business Administration, Supply Chain Management, Procurement & Logistics, Project Management Or a related field from a recognized Institution
Experience
Minimum of 2–5 years’ experience in tender administration, bid coordination, procurement, or a related administrative role. Experience in construction, mining, engineering, logistics, consulting, or infrastructure sectors.
Knowledge of public procurement regulations and contract administration is highly advantageous.
Certification in Procurement, Supply Chain, or Project Management is an added advantage.
Technical Skills
Advanced proficiency in: Ms Office, Outlook & Email Management
Experience using e-Tendering portals, ERP systems or Procurement platforms
Strong document management and reporting skills.
