Key Roles & Responsibility
Supplier Management:
Identifying and evaluating potential suppliers and vendors.
Negotiating contracts and terms with suppliers.
Building and maintaining strong relationships with suppliers to ensure smooth procurement processes.
Purchasing and Procurement:
Managing the purchase of raw materials, products, or services needed by the organization.
Reviewing purchase requisitions and ensuring accurate and timely orders.
Conducting market research to find competitive prices and quality options.
Inventory Management:
Monitoring inventory levels to avoid stock shortages or overstock situations.
Developing strategies to optimize inventory management and procurement timing.
Cost Control:
Identifying cost-saving opportunities and suggesting strategies to reduce procurement expenses.
Ensuring that procurement is conducted within the allocated budget.
Compliance and Reporting:
Ensuring that all purchases comply with company policies, legal requirements, and industry regulations.
Preparing regular reports on procurement activities, supplier performance, and budget adherence.
Order Management:
Processing orders and managing logistics to ensure timely delivery.
Coordinating with other departments (such as finance and production) to ensure that orders are met without delays.
Problem Resolution:
Addressing any procurement-related issues, such as delivery delays or defective products.
Implementing corrective actions and maintaining contingency plans for potential risks.
Job Requirements
Education
Bachelor’s Degree: in Business Administration, Supply Chain Management, Procurement and Logistics, or a related field is generally required.
Master’s Degrees (Optional): in business, logistics, or supply chain management may be preferred for senior positions.
Skills
Strategic Sourcing and Category Management Expertise: Proven ability to develop and implement effective sourcing strategies.
Strong Negotiation and Contract Management Skills: Deep expertise in contract law and negotiation techniques.
Advanced Analytical and Problem-Solving Skills: Ability to analyze complex data, identifies trends, and develops effective solutions.
Supplier Relationship Management Expertise: Ability to build strong and collaborative relationships with suppliers.
Excellent Communication and Interpersonal Skills: Ability to communicate effectively with stakeholders at all levels.
Data Analysis and Reporting Skills: Ability to use data analysis tools to track performance, assess effectiveness, and identify areas for improvement.
Strong functionality with computers and software, particularly Microsoft Office Suite (e.g.: Access, Word, Excel, PowerPoint, Outlook) and any specialized PM&E software.)
Certifications and licenses
Certifications (Optional, but Preferred):
Certified Purchasing Professional (CPP) or Certified Supply Chain Professional (CSCP) can enhance the credentials of purchasing experts.
Certified Professional in Supply Management (CPSM), Certified
Supply Management (CSM), or Chartered Institute of Procurement and Supply (CIPS)certifications are also beneficial.
WorkingExperience2-4 years of relevant experience in procurement, purchasing, or supply chain management are expected. Demonstrated experience in supplier negotiation, procurement planning, and vendor management will be essential.
