Strengthening IGAD Migration Policy Implementation (SIMPI)
On behalf of the German Federal Ministry for Economic Cooperation and Development (BMZ), the Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) implements the programme “Strengthening IGAD Migration Policy Implementation” (SIMPI). The programme supports IGAD to perform its tasks in the areas of migration and displacement more effectively and has offices in Addis Ababa, Moyale and Djibouti.
Strengthening IGAD Migration Policy Implementation (SIMPI) seeks a qualified candidate for the position of Office Manager for a temporary period of six months to cover a maternity leave.
Contract Duration: 6 months
Responsibilities and Duties
In consultation with the program administration and finance coordinator, organizes the general logistics of meetings, workshops, trainings, and other events:
Facilitating Logistics of travel of participants; making hotel reservations, preparation of printing materials; handouts, badges,
Preparation and organization of presentation equipment such as pin boards, flipchart, projectors, and any other equipment needed or requested by technically responsible staff.
Organizes transport of participant, trainers during the workshop and events.
Organization and proper documentation of events such as Participant’s registration sheets, event’s photographs etc.
In coordination with event manager facilitating the services
Documents service requests and enquiries in relation to workshops and training.
Supports GIZ standardisation process in the organisation of training with the preparation
of checklists.
Preparation and translation of general correspondence, response letters and memos in English and Amharic in relation to workshops, trainings, and other events.
Ensures smooth running of all logistical issues during an event having preliminary checks of sign boards and other necessary equipment.
Handling of Project Petty cash and Cheques
Recording of daily transaction on WINPACCS and preparing the payment vouchers (Both cash and bank)
Reporting VAT and WHT to county office every month
Recording the fuel consumption on FMS system
Purchasing of Items and Preparing Budgets
Serving guests, answering telephone calls
Works according to GIZ rules and regulations especially in respect to procurement procedures, thresholds, and filling, treats information confidentially, specifically in the areas of personnel and finance.
Performs other duties and tasks given by Administration and finance coordinator.
Required qualifications, competencies, and experience
BA in accounting, project management, and related fields
A good understanding of GIZ regulations is an advantage
Good command of the English language
