Job summery
This is a vital role in maintaining accurate and organized records. They are responsible for 
submitting information into computer databases and ERP, performing data entry tasks, and 
ensuring data accuracy through verification checks.

KEY PERFORMANCE INDICATORS
1. Data Accuracy– Record clean and accurate data both on logistics database and ERP
2. Timely Data Entry– Data is recorded a timely manner in logistics database and ERP
3. Timely Payment Processing - payments are submitted within 1 hour of receiving
KEY RESPONSIBILITIES
Pre-Delivery 
➢ Confirm all advance payments are settled & reconciled and record the updated cost on 
the database
Post-Delivery Document Processing
➢ Responsible for receiving delivery documents from drivers after trip, including ensuring 
all the appropriate fields are filled and if not, taking appropriate steps to complete them
➢ Securely sends original documents to head office, following appropriate procedures
➢ Only for some sites originally
➢ Uploads scanned copies of Delivery Orders into the system for deliveries with remaining
➢ Post the Confirmed Delivery Order Confirmation on the system
Data Management
➢ Update Logistics databases within 8 business hours of receiving document
➢ Ensure consistent data across ERP and Logistics database
➢ Confirm database figure matches with the actual submitted document
➢ Special attention to remaining, DOA, missing, return date and time
➢ Reconcile what was loaded from DOs with the store each day
Payment Management
➢ Confirm all the necessary documents are submitted for payment 
➢ Confirm DOs are signed by agents before making payments
➢ Confirm database figures matches with the actual submitted document
➢ Follow payment requests are processed and paid at finance
➢ Records daily expense, requests weekly site budget transfer.
