ORGANIZATIONAL OVERVIEW
The National Election Board of Ethiopia (NEBE), re-established by proclamation No. 1133/2011, is the constitutionally mandated body to conduct elections, organize referendum and regulate political parties in Ethiopia. NEBE is working to boost its’ institutional strength with a special focus on enhancement of human resource capacity. Accordingly, NEBE would like to invite applicants for Executive Assistant position who meet the following requirements.

Job Summary
The Executive Assistant in the Deputy Chairperson’s Office is responsible for providing comprehensive administrative support to the Deputy Chairperson of the National Electoral Board of Ethiopia (NEBE). The Executive Assistant also plays a role in documentation, budget management, travel arrangements, and supporting specific initiatives and projects led by the Deputy Chairperson.
Duties and responsibilities
Primary responsibilities of the Executive Assistant:
Provide administrative support to the Deputy Chairperson, including managing schedules, appointments, and travel arrangements to ensure efficient time management.
Handle official communications, correspondence, and record-keeping for the Deputy Chairperson's Office, ensuring accuracy and confidentiality.
Assisting in preparing and organizing meetings, conferences, and official events.
Serving as a liaison between the Chairperson and other NEBE’s departments, regional offices and external stakeholders.
Coordination and Communication
Coordinate with other NEBE’s departments and relevant stakeholders to ensure effective communication and collaboration.
Confidentiality and Integrity
Exhibit confidentiality and uphold ethical principles in all interactions and activities of the Deputy Chairperson's Office.
Documentation
Ensure timely and accurate documentation of activities within the Deputy Chairperson's Office.
Budget and Resource Management
Assist in managing the budget and resources allocated to the Deputy Chairperson's Office, ensuring optimal use and adherence to financial guidelines.
Support to Chairperson's Initiatives
Support to initiatives and projects led by the Deputy Chairperson, ensuring their successful execution.
Provides effective administrative support, contributing to the Deputy Chairperson's successful leadership and NEBE's electoral objectives in Ethiopia.
Any other duties as assigned by your line manager.
Job Requirements
Specification:
Education and Work Experience:
BA or MA degree in Management, Secretarial and Office Management, Public Administration, Law, Political Science or related fields.
4 or 2-years relevant experience.
Knowledge and Skill:
Strong organizational and time-management skills.
Excellent communication and interpersonal skills.
Attention to detail and commitment to confidentiality.
Ability to manage schedules and appointments effectively.
Proficiency in documentation and record-keeping.
Budget management skills and resource allocation.
Collaboration and coordination abilities.
Familiarity with event organization and coordination is a plus.
