Job Purpose

The Warehouse Data Encoder is responsible for accurately recording, updating, and maintaining warehouse-related data in digital systems. This role ensures timely and precise encoding of stock movements, receipts, and issuances to support inventory control, reporting, and smooth warehouse operations.

Job Requirements

• Education: Diploma or Degree in Supply Chain Management, Logistics, IT, or related field

• Experience: Junior-level experience in data entry or warehouse encoding roles.

Skills & Competencies

•  IT and related field 

• Strong communication and interpersonal skills.

• Proficiency in MS Office (Excel, Word, PowerPoint).

• Excellent organizational and record-keeping abilities.

• Ability to handle confidential information responsibly.

• Problem-solving skills and ability to work under pressure.

• Professional demeanor and ability to represent the organization effectively.

Duties and Responsibilities

• Encode daily warehouse transactions (receipts, issuances, returns, transfers) into ERP or inventory systems.

• Verify accuracy of source documents (GRNs, requisitions, issue notes) before data entry.

• Maintain organized digital records and ensure proper filing of physical documents.

• Generate periodic warehouse data reports (stock balances, usage trends, variances).

• Identify and correct errors or inconsistencies in warehouse records.

• Support stock audits and reconciliations by providing accurate encoded data.

• Ensure confidentiality and security of warehouse information.

• Collaborate with storekeepers and warehouse supervisors to ensure timely data submission.

• Assist in preparing summaries, charts, or dashboards for management review.
