  • Greeting visitors.
  • Managing security and telecommunications systems.
  • Handling queries and complaints via phone, email and general correspondence in a professional manner, and routing calls as necessary.
  • To perform other clerical receptionist duties such as photocopying, transcribing, keeping records of office expenses, sorting and distributing paperwork, etc.
  • Taking and ensuring messages are passed to the appropriate staff member in time.
  • Preparing meeting and training rooms.
  • To manage calendars by scheduling important meetings, arranging travel and accommodation, etc.
  • Assisting colleagues with administrative tasks.
  • Receiving, sorting, distributing and dispatching mail
  • To maintain the office and managing all office inventory such as stationery, equipment and furniture.
  • Overseeing office services like cleaners and maintenance service providers
  • Maintaining safety and hygiene standards of the reception area
  • Performing any other duties that might from time to time be reasonably assigned by the Employer.
Job Requirements

• High school diploma or equivalent; Associate's degree or relevant certification is a plus.
• Proven experience as an administrative assistant or in a similar role is preferred.
• Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
• Strong organizational and multitasking skills.
• Excellent communication and interpersonal abilities.
• Attention to detail and accuracy in work.
• Ability to work independently and as part of a team.
